02 The Challenge

From manual to modern

With over a century of history, The Master Plumbers and Gasfitters Association (MPGA) needed to modernise its processes to better support its members. Manual workflows for registrations, approvals, certifications, and billing created inefficiencies, adding to administrative workload and slowing operations.

Without workflow automation or integration between departments, the existing system made it challenging to track member interactions and access real-time insights. To improve efficiency and enhance the member experience, MPA required a modern, streamlined solution.

Rebuilding membership management from the ground up

We set out to transform MPGA’s labour-intensive system into a seamless, fully automated experience. The first step was gaining a deep understanding of the member journey – identifying pain points, analysing user behaviours, and mapping out an ideal workflow. With these insights, we developed a solution that not only eliminated inefficiencies but also enhanced the overall member experience.

At the heart of this transformation was our Mintox platform, a powerful CRM designed to centralise and automate MPGA’s membership management. We implemented a fully digital registration and approval process, removing paperwork and manual interventions. Members could now sign up, update their details, and manage their subscriptions with ease. Payments, previously a prolonged administrative burden, became instant and automated through SecurePay integration.

Beyond streamlining processes, we ensured that MPGA staff had the tools to operate more effectively. A custom-built dashboard provided real-time insights into registrations, payments, and renewals, empowering the team to make informed decisions at a glance. Compliance tracking was simplified, keeping records of plumbing and gasfitting licences, backflow certifications, and insurance up to date.

Member interactions were seamlessly logged, and email marketing efforts were fully integrated with Brevo. Likewise, certification renewals were automated, ensuring members instantly received digital certificates upon renewal, removing the need for manual processing.

A more efficient way forward

The implementation of the Mintox-powered CRM marked a complete transformation for MPGA, streamlining operations and enhancing efficiency across all aspects of membership management. With 100% automation of membership workflows, the need for paper-based processes was eliminated, significantly reducing administrative workload and freeing up resources for strategic initiatives. While seamless integration with internal systems – such as accounting software and email marketing tools, ensured smooth day-to-day operations.

The new system was built for scalability, allowing MPGA to accommodate future growth without operational bottlenecks. Members benefited from a vastly improved experience, gaining the ability to self-manage sign-ups, access real-time updates, and handle subscriptions with ease. By transitioning from a fragmented, manual system to a fully automated and integrated platform, MPGA successfully embraced digital transformation, unlocking greater efficiency, scalability, and user satisfaction.
